Claims: Automobile
Church-owned vehicle

- BEFORE AN ACCIDENT… Review the documents and
information found in the “Driver’s Accident Reporting Envelope”.
This envelope should be kept in the glove box of every
church-owned vehicle. Also, read carefully the Vehicle Use
Policy on the web at
www.CofChrist.org/risk.
- AFTER AN ACCIDENT… Follow the procedures on the “What
To Do” guide that is located in the “Driver’s Accident Reporting
Envelope”.
- AT THE SCENE…
a) Make NO comments about assuming responsibility.
b) Exchange personal and insurance information.
c) Request that witness cards be completed.
d) Obtain the police report number.
e) If your vehicle is not safe to drive, have it towed to the
nearest repair facility of your choice. (After the estimate is
received, the church will determine if the repairs will be done
or if the vehicle will be totaled.)
- NEXT STEPS…
a) Report the accident with pertinent information to Risk
Management Services at 1-800-825-2806, ext. 1493, and to your
supervisor as soon as possible.
b) Obtain two (2) estimates from reliable repair facilities.
Submit these estimates to Risk Management Services for review
and selection.
c) Obtain police report and send to Risk Management Services
d) Invoices that are the responsibility of the church are to be
submitted to Risk Management Services. Please indicate if
payment should be made to the repair shop or to an individual.

Privately owned vehicle used for church business
If a privately owned vehicle is used for church business and a
loss occurs, the owner’s personal insurance policy for that vehicle
will guide the decision about whether or not there is coverage for
the loss. That insurance company will then direct the claims
procedures.

Rented vehicle used for church business
Be aware that there may be different state laws and different
rules and requirements of car rental agencies which need to be
understood.
- Vehicle must be rented in the name of the church
- Call ahead to request a Certificate of Insurance from Risk
Management Services
- Additional insurance offered by the rental agency is not
needed.
- Be guided by the following routine steps at the scene or
immediately following:
a) Make NO comments about assuming responsibility.
b) Gather personal and insurance information.
c) Request that witness cards be completed.
d) Obtain the police report number.
e) Report the accident with pertinent information to Risk
Management Services at 1-800-825-2806, ext. 1493, and to your
supervisor as soon as possible.
f) Contact the rental company. Give the rental company Risk
Management Services’s address and phone number—1-800-825-2806
ext. 1493.
