Claims: Automobile

CHURCH-OWNED VEHICLE

  1. BEFORE AN ACCIDENT… Review the documents and information found in the “Driver’s Information Packet”. This envelope should be kept in the glove box of every church-owned vehicle.
  2. AFTER AN ACCIDENT… Complete the information on the “So You Won't Panic” card that is located in the “Driver’s Information Packet” (this is to be sent to Risk Management when you report the accident.)
  3. AT THE SCENE…IF ANOTHER VEHICLE IS INVOLVED
  4. a)  YOU MUST CALL POLICE

    b)  Exchange personal (name, full address, phone, date of birth, driver's license number, and state of plate) and insurance information. Is this person the owner of the vehicle, if not get their information.

    c)  YOU MUST obtain the police report number.

    d)  If your vehicle is not safe to drive, have it towed to the nearest repair facility of your choice. (After the estimate is received, the church will determine if the repairs will be done or if the vehicle will be totaled.)

    e)  Report the accident with pertinent information to Risk Management Services at 1-800-825-2806, x1493 and to your supervisor as soon as possible.

    f)   Obtain two (2) estimates from reliable repair facilities. Submit the estimates to Risk Management Services for review and selection. kclark@CofChrist.org

    g)  Obtain police report and send it to Risk Management Services.

    h)  Invoices that are the responsibility of the church are to be submitted to Risk Management Services. Please indicate if payment is to be made to the repair facility or to the individual.

  5. AT THE SCENE...SINGLE VEHICLE INVOLVED

    a)  Report the accident with pertinent information (see the “So You Won't Panic” card) to Risk Management Services at 1-800-825-2806, x1493 and to your supervisor as soon as possible.

    b)  Obtain estimate from reliable repair facility, if estimate is under $1,000.00 have the repairs completed. If estimate is over $1,000.00, get a second estimate. Submit estimates to Risk Management Services for review and selection. kclark@CofChrist.org

    c)  Invoices that are the responsibility of the church are to be submitted to Risk Management Services. Please indicate if payment is to be made to the repair facility or to the individual.

PRIVATELY OWNED VEHICLE USED FOR CHURCH BUSINESS
If a privately owned vehicle is used for church business and a loss occurs, the owner's personal insurance policy for that vehicle will apply.

RENTED VEHICLE USED FOR CHURCH BUSINESS
Be aware that there may be different state laws and different rules and requirements of car rental agencies, which need to be understood and followed.

  1. Vehicle must be rented in the name of the church.
  2. Call ahead to request a Certificate of Insurance from Risk Management Services.
  3. Additional insurance offered by the rental agency is not needed if the vehicle is rented in the name of the church.
  4. Be guided by the following steps at the accident scene or immediately following:

    a) Call police.

    b) Gather personal and insurance information.

    c) Report the accident with pertinent information to Risk Management Services at 1-800-825-2806, x1493, and to your supervisor as soon as possible.

    d) Contact the rental company. Give the rental company Risk Management Services’s address and phone number—1001 W. Walnut, Independence, MO 64050; 1-800-825-2806 x1493.

    e) Obtain the police report and send it to Risk Management Services.

    f) 15 passenger vans are not to be rented under any circumstances.

15 PASSENGER VANS
The church is NOT acquiring (via purchasing, renting, or donation) any additional 15-passenger vans. Jurisdictions that currently own one should immediately take steps to replace them with a different vehicle.
