Risk - Automobile Claims

Before an accident

Review the documents and information found in the “Drivers’ Information Packet.” This envelope and all its contents should be kept in the glove box of every church owned vehicle.

At the scene of an accident

If another vehicle is involved

  • Never admit guilt or fault for an accident.
  • YOU MUST CALL POLICE.
  • Exchange personal and insurance information (name, full address, phone, and date of birth, driver’s license number, state of plate, insurance company, and agent name and phone number). Is this person the owner of the vehicle? If not, get the owner’s information.
  • YOU MUST obtain the police report number.
  • If your vehicle is not safe to drive, have it towed to the nearest repair facility of your choice. After the estimate is received by Risk Management, the church will determine if the repairs will be done or if the vehicle will be totaled.

If a single vehicle is involved

  • Never admit guilt or fault for an accident.

After an accident

If another vehicle is involved

  • Complete the information on the Automobile Accident Report that is located in the “Driver’s Information Packet.” This should be sent to Risk Management when you report the accident.
  • Report the accident with pertinent information to Risk Management Services at (800) 825-2806 and to your supervisor as soon as possible.
  • Obtain two (2) estimates from reliable repair facilities. Submit the estimates to Risk Management Services for review and selection (see Connect for contact details)
  • Obtain police report and send it to Risk Management Services.
  • Invoices that are the responsibility of the church are to be submitted to Risk Management Services. Please indicate if payment is to be made to the repair facility or to the individual.

If a single vehicle is involved

  • Report the accident with pertinent information (see the Automobile Accident Report) to Risk Management Services at (800) 825-2806 and to your supervisor as soon as possible.
  • Obtain estimate from reliable repair facility, if estimate is under $1,000.00, have the repairs completed. If estimate is over $1,000.00, get a second estimate. Submit the estimates to Risk Management Services for review and selection (see Connect for contact details).
  • Invoices that are the responsibility of the church are to be submitted to Risk Management Services. Please indicate if payment is to be made to the repair facility or to the individual.

If the accident involves:

A privately owned vehicle used for church business

If a privately owned vehicle is used for church business and a loss occurs, the owner’s personal insurance policy for that vehicle will apply.    

A rented vehicle used for church business

Be aware of the laws of the country, state, or province you are driving in; you must follow those laws.

  1. Vehicles must be rented in the name of Community of Christ.
  2. Print a copy of the automobile accident report from the Risk Management website: Automobile Accident Report
  3. Call Risk Management to request a Certificate of Insurance from Risk Management Services.
  4. Additional insurance offered by the rental agency is not needed since the vehicle is rented in the name of the church.
  5. Pre-rental inspection of the vehicle must be done and all preexisting damages written on the rental agreement.
  6. Be guided by these steps at the accident scene or immediately following:
  • Call police; you MUST get a police report and a police report number.
  • Gather personal and insurance information.
  • Report the accident with pertinent information to Risk Management Services at 1-800-825-28061-800-825-2806 and to your supervisor as soon as possible.
  • Contact the rental company. Give the rental company Risk Management Services’ address and phone number: 1001 W. Walnut, Independence, MO 64050; (800) 825-2806, ext 2272.
  • Obtain police report and send it to Risk Management Services.

Fifteen-passenger vans are not to be rented under any circumstances.
