How to Enter an Ordination |
| Before you begin entering the information
into Shelby, edit the report. This means checking the report for
required information. Required information includes: Full name
(first/middle/last), address, full name of officiants, and the date and
place of ordination. If you are missing required information do not add
to Shelby. NOTE: Make sure the officiants hold the proper Priesthood
office. If an outside officiant has officiated, you can call Membership
Records to check on the Priesthood office held by the minister.

In the Membership Module click on the
“Change Criteria” button. Enter the last name and first name, in the
appropriate boxes. Choose “OK”. Double click on the name to enter the
record.

Click on the “GlobaFile Information” box,
in the lower right corner. This will take you to the GlobaFile.

Tab 1 – The address should be
entered. Verify that it is correct. If it needs to be changed, please
refer to the section on updating an address.

Tab 2 - The phone number should be
entered. Verify that it is correct.

Tab 3 – Not used for this type of
entry.

Tab 4 – Not used for this type of
entry.

Tab 5 – This tab is not used for
this type of entry. Tabs 6 and 7 are not used at this time.

Tab 8 – This should have the
congregation that this person is enrolled. If the information is not
correct, please refer to the section on how to process a transfer. Do
not change the information on this screen. It must be changed through
the Utility process.

Click “Finished”. This will take you
back to the Membership module.

Tab 1 – This screen shows some of
the information contained in the record, such as address, phone number,
and the DOB. The information on this screen cannot be changed here. You
must go back to the GlobaFile to make any changes or corrections.

Tab 3 – This screen is not used at
this time. |

Tab 4 – This screen shows the
relationship information if they are connected to someone else.
Information on this screen cannot be changed here. You must go back to
the GlobaFile to make any changes or corrections. |

this screen may contain information that was converted from our old
system into Shelby. |

Tab 7 - Click the “Add new” button
at the bottom left of the screen. This will bring up the data entry
screen to enter life events. At the top is a small box that will say
“Description” and will have “Baby Blessing” already entered. Use the
drop down arrow (to the right) to choose which life event you are going
to enter. Choose “Ordination”. Add the ordination information.
*If this is the first ordination for this person continue with the
steps below. If the person currently holds priesthood see the note
below.
- Effective Date: Date of ordination
- Officiant: Spokesperson for the ordination.
- Assisting: If there were two officiants the second is
listed here.
- Location: City, State where the ordination took place.
(Use the two digit state abbreviation, for example, Independence,
MO)
- Congregation Enrolled: Enter the official name of the
congregation. (You can use Tab 8 in the GlobaFile to see the
official name. Use the name not the four digit number.)
- Type: This is the priesthood office to which they were
ordained.
* NOTE: If the person already holds priesthood, you will need to open
that ordination and put an end date on that entry. The only exception to
this would be if the person is a High Priest and is being ordained to
the office of Evangelist or Bishop. In that case, you do not put an end
date in the High Priest ordination. Also, if ordained to an Evangelist
and they have NOT been ordained to a High Priest, you will need to enter
two ordinations one to High Priest and one to Evangelist. Use the same
day, place and officiants.

Click “OK” to save and exit out of that
screen and “OK” again to save and exit out of the record.

Exiting out of the record should cause the
priesthood information on tab 2 in the Membership Module to change to
reflect the new priesthood office. If it does not, you will need to go
back to Tab 2 and change it manually. |
